Start with an accurate commercial invoice, a packing list reflecting the final packed goods, and clear shipping instructions. Depending on the commodity and route, the broker or carrier may request additional certificates, declarations or approvals. There is no single document checklist that establishes compliance for every shipment.
For machinery, distinguish model references from serial numbers and describe accessories packed separately. For mixed consignments, package-level details help explain which goods are in each carton, crate or pallet. Consistent units of measurement reduce confusion where a commercial order uses one unit and the packing list another.
Send legible files and identify the current version. Changes to weights, package counts, consignee details or cargo readiness should be communicated to everyone relying on that information. Keeping a record of what was reviewed and what remains outstanding helps avoid contradictory instructions close to a carrier deadline.
